Executive Assistant

Alluvion Staffing is currently recruiting for an Executive Assistant to the CEO of a title agency in Jacksonville. This is an administrative support role, candidate must have experience supporting management staff, with a professional demeanor.

 

Purpose:

Provide support to the Chief Executive Officer by effectively managing his schedule and performing a wide variety of responsible, complex and confidential administrative, secretarial, analytical, and research duties. Duties performed require considerable confidentiality, initiative, tact, and mature and independent judgment. This position requires leadership qualities such as adaptability, flexibility, dependability, and accountability. Much of the work is self-appointed and requires a high degree of professional independence, initiative, and self-discipline.

 

Executive Assistant to CEO Job Duties:

·          Provide administrative, organizational, and scheduling structure and support

·          Act as a liaison between CEO and stakeholders

·          Maintain appointment phone log, schedules and calendars, provide reminders as appropriate, and coordinate travel arrangements for CEO and family

·          Coordinate and organize meetings, including notification to prospective attendees, set-up, pre- and post-meeting correspondence including any required follow up

·          Manage ancillary company assets, including but not limited to the company’s Van and Condominium

·          Light bookkeeping as needed

·          Represent the CEO to the public, businesses and other agencies at his request

·          Perform special projects and other duties as assigned

 

Other Support Job Duties:

·         Coordinate, schedule, and confirm bi-monthly management and other meetings with appropriate personnel

·         Share special project needs for other Executive Team Members

·         Support office general repair & maintenance

·         Help with employee events and gatherings

·         Serve as a back-up to the receptionist and represent the company in a professional manner

·         Provide other general administrative duties including but not limited to; scanning, filling, creating and modifying reports, and composing basic correspondence.

 

 

Skills/Qualifications:

·         Knowledge of office administration, business correspondence formatting, proper telephone etiquette, proper use of English, spelling, grammar, and punctuation

·         Highly proficient computer skills including Microsoft Office

·         Exemplary customer service skills including the ability to identify needs, provide prompt response, exercise patience, respect, and professionalism at all times

·         Positive Attitude, critical thinking and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions or approaches to problems

·         Skill in independently prioritizing, planning, coordinating, organizing, leading, and monitoring multiple projects at one time

·         Ability to multi-task and problem solve

·         Strong written and verbal communication skills

·         Highly effective organizational and time management skills

·         Ability to exercise discretion in preparing, handling, and disclosing information of a confidential, controversial, and/or sensitive nature

·         Ability to establish and maintain effective working relationships
